Position: Provincial Community Services Coordinator

Position Overview:
As a registered charity, St. John Ambulance (SJA) serves our mission each and every day by supporting communities across Canada to enhance their health and well-being through training, products and community-based services. With a provincial headquarters and training centre in Regina, SJA operates across Saskatchewan with additional facilities in Moose Jaw, Saskatoon, Lloydminster, Prince Albert and Yorkton.
As Saskatchewan’s leader in volunteerism, we are seeking a dynamic and community-minded professional to join our team as our Provincial Community Services Coordinator.
The CSC will work under the leadership of the Director of Community Services and will support our volunteer programs including Medical First Responders, Therapy Dog teams, and our Emergency Response Units. These programs include over 400 volunteers who serve in communities across Saskatchewan.
Responsibilities:
1. Event Coordination & Administration
- Organize and schedule volunteer coverage for community events (volume of events vary by week and season).
- Manage post-event invoicing; ensure invoices are issued promptly and copied to appropriate internal contacts for reconciliation.
- Promote event sign-ups and support volunteer participation.
2. Volunteer Recruitment & Onboarding
- Review and process online, email, and mailed volunteer applications.
- Communicate with applicants, answer questions, and guide them through onboarding.
- Prepare and issue Criminal Record Check letters as required.
3. Volunteer Support & Engagement
- Respond to high volumes of emails related to volunteer concerns, scheduling, and general inquiries.
- Attend unit meetings to support volunteers, address concerns, and maintain engagement.
- Co-ordinate and organize volunteer evaluations (e.g., Therapy Dog evaluations).
- Facilitate first visits for new therapy dog teams and liaise with partner sites to ensure positive working relationships.
4. Program & Site Coordination
- Work with partner facilities (e.g., hospitals, schools, care homes and community sites) to establish and maintain therapy dog placements and first aid event coverage.
- Work directly with the Director of Community Services, and emergency services providers to support emergency events across the province (e.g., wildfire evacuation centre support).
- Support regional teams to ensure appropriate coverage and program alignment.
5. Data Entry & Record Management
- Enter and track volunteer hours as time permits.
- Maintain accurate program and participation records.
6. Equipment & Resource Oversight
- Conduct regular checks of Therapy Dog and Medical First Responder (MFR) rooms and equipment to ensure readiness and organization.
Qualifications:
The ideal candidate will have experience leading and managing volunteer programs and has demonstrated a commitment to community service. They will be proactive, self-motivated and able to work both independently and as part of a team. They will excel at time and priority management. A diploma or degree in a related discipline would be an asset.
Compensation & Benefits:
This is a full-time (37.5 hours) in-office position based in the Regina provincial headquarters. Some evening and weekend will be required to support volunteer activities. Occasional travel across the province is required.
Starting wage offered is $55,000, with health and dental benefits, along with a defined-benefit pension plan.
